Job Description

Our client is the global leader in commercial real estate services and investments, they are currently looking for Concierge as maternity cover for 5 months.

Essential Duties:

  • Coordinate and support Workplace Services, providing a warm, professional greeting.
  • Handle various services: concierge, reception, room management, A/V support, event management, and more.
  • Respond promptly to customer requests and complaints.
  • Ensure compliance with brand guidelines for all materials.
  • Maintain databases and assist with data entry and reporting.
  • Follow security and emergency procedures calmly and efficiently.
  • Support the Experience Services team with expense management and meeting coordination.
  • Keep vendor records up to date and assist with orientations.
  • Support moves, adds, and changes (MAC) as needed.

Concierge Services:

  • Greet visitors and ensure adherence to safety procedures.
  • Prepare and serve beverages; manage guest registrations and security badges.
  • Answer incoming calls and manage contractors’ sign-in processes.
  • Maintain cleanliness of reception and meeting areas.
  • Assist visitors with ad hoc requests and meeting room bookings.
  • Manage the CRES team email inbox and conduct weekly site inspections.

Meetings & Events Management:

  • Set up and pack down meeting rooms; monitor equipment functionality.
  • Place catering orders for events and manage relationships with suppliers.
  • Facilitate room setups and support staff with AV and reservation needs.
  • Assist with staff training events and offsite training logistics.

Security Badge Management:

  • Oversee allocation and collection of security badges and lockers.

Business Services:

  • Assign workplace locations for new starters; manage stock of office supplies.
  • Sort and distribute incoming and outgoing mail.
  • Coordinate external printing and update digital signage.
  • Support financial processing and environmental reporting.

Administration:

  • Manage incoming emails and create Service Now tickets.
  • Provide handovers and training for relief staff.
  • Update reception resources monthly.

If you are someone with the following, let’s chat! 

  • Diploma required; minimum one year of customer service experience preferred.
  • Able to work in a standing position for long periods of time
  • Strong interpersonal skills and a warm demeanor; able to resolve issues effectively.
  • Detail-oriented with good organizational skills; comfortable under pressure.
  • Proficient in Microsoft Office Suite and adaptable to new technologies.
  • Flexible with work schedules and able to perform physical tasks as needed.
